The Business Development & Marketing team is seeking a motivated and enthusiastic individual who thrives in a buzzing work environment and deals well with the pressures of working under short deadlines. The ability to multitask, an eye for detail, excellent communication skills and an enthusiastic approach are a must. The ideal applicant is a decisive, confident person who takes pride in his/her work and is not afraid of change and can come up with innovative methods/ideas that benefit the team and/or the wider office.

The successful candidate will be have 2 direct reports, consisting of a Business Development Assistant and a Graphics Designer, therefore managerial experience is preferred.

The applicant should be a team player who can also work on his/her own with little assistance. Work outside of working hours may be required occasionally.

Liaises as appropriate with leadership, client teams, business leaders on specific opportunities, and the wider BD and Marketing team and PR team.

Reports on a day to day basis to the Middle East Leader for all matters.

Reports professionally to the Marketing and Business Development leadership in the UKMEA.


Business Development

Main responsibility: Co-ordination of all potential work for the Middle East and ensure continued flow of work through relevant staff.

• Lead weekly team meetings

• Ensure excellent communication is maintained with the rest of the office, identify skill gaps and organize and lead workshops and staff training as needed (e.g., CV writing workshop, CRM training, marketing workshop)

• Ensure quality of submissions meet Arup standards and provide feedback as necessary

• Coordination of and assistance with proposals, EOIs, prequalifications (depending on the job, it could be either feeding information to the Bid Manager or overseeing the entire submission process)

• Completing prequalifications and updating consultant registrations

• Overseeing CRM efforts and act as main point of contact and/or provide support with data maintenance as needed

• Coordination of potential work and client meetings as required

• Ensure that all BD and Marketing related documents such s CVs, project sheets, brochures, etc. are up-to-date and coordinate the maintenance of these within the team

• Continuously seek out ways to improve BD procedures in the region

• Participation in meetings as needed (local and regional level)

• Coordination with and assistance to other Business Support team members may be required

• Interest in local affairs and keeping on top of current events relevant to our business

• Working with the AMS team and managers to develop CRM plans and ensuring CRM activities are carried out

• Coordinate client feedback and analyse results

• Prepare reports on the current pipeline and assist in interpretation of reports from Microsoft CRM system

• Take on all day-to-day duties of BD Assistant in their absence including acting as main point of contact for all incoming BD emails and forwarding them to the relevant teams, maintaining the Lead Tracker as required


• Assess and provide high-level summary of market information to inform leaders as needed

• Maintenance and circulation of regional announcements/newsletters (CRM Newsletter, Spotlight, Victory Bell)

• With assistance from the BD Assistant, coordinate input for the ME Events Calendar and ensure it is accurately maintained

• Coordination of media queries with UK and assistance with article writing/editing

• Be familiar with relevant trade literature

• Update corporate marketing material (brochures, project sheets etc.)

• Organize client and networking events

• Support development of relationships with new and existing clients

• Coordinate input for presentations and collateral

• Coordinate industry events

• Coordinate and support preparation of award entries

• Provide agreed content for the intranet as well as for relevant to the Middle East

• Undertake specific client and market research


• Take on all day-to-day duties of BD Assistant in their absence including acting as main point of contact for all incoming BD emails and forwarding them to the relevant teams, maintaining the Lead Tracker as required

• Undertake annual appraisals for team members as well as day to day management activity

• Respond to queries raised within Marketing / Business development discussion foruminterest in coding or programming to solve engineering problems

Requirements and skills

• Ability to work under pressure and deliver tasks on short deadlines

• Good working knowledge of InDesign and/or Illustrator is preferred

• Excellent knowledge of MS applications (Outlook, Word, Excel, Powerpoint)

• Ability to proofread others’ work and carry out editing tasks as needed

• Excellent verbal and written communication skills who ensures smooth communication with all staff
