Hotel Overview: Fairmont The Palm is a luxury, world-class resort located on the iconic Palm Jumeirah Island in Dubai. The hotel features 381 guest rooms and suites with dedicated Fairmont Gold rooms and lounge. A total of seven food and beverage outlets on property offer international dining options including Mideterranean cuisine and a Brazilian churrasco experience. Fairmont The Palm also features an expansive pool and beach area with a health club, Willow Stream Spa and the Fairmont Falcons Juniors’ Club.

Summary of Responsibilities:Reporting to the Director, Catering & Conference Services, responsibilities and essential job functions include but are not limited to the following:

  • Consistently offer professional, friendly and engaging service
  • Acts in accordance with the standards, conforms to the policies and procedures of FRHI and promoted the best practices for Fairmont Hotels & Resorts values of teamwork, mutual respect, integrity and empowerment among all colleagues

Events:

  • Focus on selling both Conference Space and Outlets including Food & beverage, AV and all related services
  • Solicit, negotiate and book new and repeat business through various efforts (prospect calls, referrals, etc) to maximize catering revenues to meet and exceed goals
  • Confirm all event related information with clients
  • Coordinate payment procedure to include: credit, prepayment and billing instructions
  • Complete the contracts, prepare the appropriate paperwork, coordinate with the necessary areas in the hotel and resolve any issues, complaints, and/or problems to ensure quality product delivery and customer satisfaction
  • Manage Events from beginning to end, processing all the information pertaining to the booking to include but not limited to:
  • Preparation of creative menus while always keeping in mind food cost, labour cost and facilities of the kitchen
  • Confirm all AV requirements (electrical, telecommunications, audio-visual and were appropriate Exhibit requirements
  • Obtain guarantees of food & beverage events for the Banquets and Kitchen teams
  • Create floor plans for each event to ensure banquets and clients are in agreement prior to set up
  • Conduct pre-conference meetings with clients and pertinent departments to confirm all relevant details are communicated

Groups:

  • Service Group bookings by coordinating and arranging the accommodation, including guest rooms visas, transportation arrival details and any outside services required
  • Conduct pre-conference meetings to ensure key departments are fully aware of relevant details pertaining to the groups
  • Maintaining visibility throughout the program to enhance service standards as well as act on site client liaison
  • Conduct post conference follow ups to address strengths and weaknesses of the event whilst soliciting for return business

General

  • Maintain accurate, legible records and files to provide group history, ensure future and current quality services and maintained/enhanced for future prospects
  • Exceed personal sales and activities (monthly, quarterly and annually)
  • Utilize Opera Sales & Catering Sales System to track, manage, book and follow up on accounts
  • Prepare weekly, monthly, quarterly and annual reports as required. Assist with gathering market intelligence
  • Responsible for the dissemination of group/event information to the appropriate departments in a professional and timely manner
  • Able Conduct the daily BEO meetings to review the event details and to ensure last minute changes are communicated accordingly through to the operational team
  • Establish excellent business and social relationships with the industry and participate in activities related to public relations in order to further increase sales leads for the department as well as the hotel
  • Control and maximize function space and ensure Opera Sales & Catering standards are met
  • Work closely with the Director, Catering & Conference Services to prepare monthly forecasts, as well as month end reports
  • Follow departmental policies and procedures
  • Follow all safety policies
  • Other duties as assigned
Employee Status

Qualifications:

  • Minimum 2 years’ experience in Catering, exposure to Banquet operation would be advantageous

  • Minimum 3 years’ experience in a luxury hotel environment

  • University/College degree in a related discipline preferred

  • The ideal applicant would be flexible with their schedule and the ability to handle multiple tasks

  • Strong sales & guest relations skills and good presentation skills

  • Previous leadership experience within a similar role required

  • Computer literate in Microsoft Window, Opera Sales & Catering and Meeting Matrix applications required

  • Excellent communication skills, both written and verbal required

  • Strong interpersonal and problem solving abilities

  • The ideal applicant will be results orientated, enthusiastic and a team player

  • Highly responsible & reliable

  • Ability to focus attention on guest needs, remaining calm and courteous at all times
